You'll lead a team of 5 across four offices in Tallinn and Tartu, ensuring day-to-day operations run smoothly while continuously raising the standard of workplace experience. You'll be hands-on when it counts — trusting your team to own their spaces, while stepping in to remove roadblocks, resolve escalations, and drive consistency across all sites. Main tasks and responsibilities: Lead, mentor and inspire a team of 5 across four Estonian offices, fostering collaboration, growth and operational excellence while ensuring smooth day-to-day operations. Own the workplace experience across Tallinn and Tartu, ensuring consistency, high standards and continuous improvements to create welcoming, functional and efficient workspaces. Drive office events and culture initiatives, guiding your team to deliver experiences that bring people together. Manage budgets, vendor relationships and contracts, ensuring cost-effective operations and strong collaboration with Finance, Legal, IT and Real Estate teams. Act as a key point of contact for employees, visitors, suppliers and stakeholders, delivering clear communication and alignment across local and global teams. Partner with People and IT teams to support onboarding, offboarding, compliance, health and safety requirements, risk assessments and asset management. About you: Proactive, takes ownership and brings a positive, can-do attitude — acting with integrity and a commitment to high standards. Proven experience in workplace experience, office management or a similar field, including leading and developing people. Communicates clearly and effectively with a wide range of stakeholders; fluent in Estonian and English (additional languages a plus). Highly organised, able to prioritise and manage multiple projects in a fast-paced environment. Strong project management, event planning and problem-solving skills with excellent attention to detail. Comfortable operating across multiple locations — delegates effectively, trusts the team, and steps in when needed.
